HVAC software that keeps up with no-heat season
Tune-ups either side of the season, no-heat calls on the coldest night, two-day installs and the maintenance plans that keep the year steady. crewduo runs all of it from one calendar, with a field app your technicians can use in a basement with no signal.
Set up for HVAC
Forms your technicians fill in on the phone, offline included:
- Furnace and AC maintenance checklist
- Combustion and CO safety test
- Install handover
The setup assistant starts you with a catalogue, working hours and a starter form for HVAC, then builds the rest with you in a conversation.
Built around how HVAC contractors work
No-heat calls that wreck the day
See who can take the urgent call and what it moves, insert the emergency, and see exactly which visits it moves before anyone drives anywhere.
Schedule and dispatchMaintenance plans that run themselves
Recurring contracts create the spring and fall visits and bill them on their own schedule, at the price you sold, with every change to the terms kept on record.
Schedule and dispatchKnow the furnace before you knock
Equipment at each property with its install date and when service is next due, so the tech arrives knowing the unit, and the office knows who to call before the season.
Win more workInstalls paid in stages
Quote a central AC or mini-split with optional lines the client chooses, take a deposit on acceptance and split the rest into a payment schedule the client can pay online.
Invoicing and paymentsServices HVAC contractors set up in crewduo
Each service carries its price, how long it takes and the materials it uses, so quotes, bookings and invoices fill themselves in. Your prices and your names: these are examples.
Ready for the season
Heating season runs October to April and cooling peaks in July; fall tune-ups and spring AC starts fill the calendar ahead of both. Statutory holidays for your province block booking automatically.
The off-season
HVAC runs both seasons, so most contractors stay on their plan all year. If you only do seasonal work (AC installs and cooling tune-ups, say) and close for the winter, put crewduo on a seasonal hold instead of cancelling: a small flat monthly fee keeps every client, unit and maintenance plan on record, your techs can still sign in and look up a furnace's history, and clients can still pay what they owe. Maintenance plans do not create visits during a hold, so bring the plan back before tune-up season. How a seasonal hold works

How a maintenance agreement runs in crewduo
- Sell it. Send the plan as a quote the client accepts and signs online. The contract (from the Van plan) holds the price and the terms, and keeps a history of every change to them.
- The visits make themselves. A spring AC tune-up and a fall furnace tune-up are two yearly jobs on the contract; each creates its visit every year. With a default technician and time they arrive on the calendar already booked, otherwise they wait in the unassigned list.
- The tune-up on the phone. The ready-made seasonal tune-up form follows the season: burners, flame sensor, heat exchanger, CO reading and gas pressure in the fall; coil, pressures, temperature split, capacitor and condensate drain in the spring; filter and thermostat every time, with a photo of the unit.
- Billed the way you sold it. Per visit as each one is done, in fixed instalments, or up front, with autopay for clients who want it.
- Renewed at your price. Each new term is billed at the contract's price; change it and the change is on record.

HVAC questions
Can crewduo handle HVAC maintenance agreements?
Yes. A recurring contract creates the visits on its schedule (for example a spring AC and a fall furnace visit), bills on its own schedule, and keeps a history of every change to its price and terms. Recurring contracts are included from the Van plan.
Can technicians fill in a combustion or safety checklist on the phone?
Yes. Custom forms are filled in on the mobile app, offline included, and saved to the visit. You can build your own or adopt a ready-made form for your trade.
Does the tune-up form work out target superheat?
Yes, from the Van plan. The ready-made HVAC Seasonal Tune-up form works out the fixed-orifice target superheat from the indoor wet bulb and outdoor dry bulb, and shows how far the measured superheat is from it: low, on target or high. Below a 5°F (2.8°C) target it says to use the manufacturer's chart instead.
How do we handle an emergency no-heat call?
On the Crew plan, dispatch shows who can take the call and what it would move, then inserts it into the day. On any plan the office can book it straight onto the calendar.
Can we take a deposit on an install and the rest in instalments?
Yes, from the Van plan. Ask for a deposit when the client accepts the quote for a furnace, central AC or mini-split, and split the balance into a payment schedule the client pays online.
Can we see the equipment history at each address?
Yes, from the Van plan. Each property keeps its furnaces, air conditioners and water heaters with make, model, serial, install date and warranty, and when each one is next due for service.
Can clients book a tune-up online?
Yes, from the Van plan. Clients pick a tune-up and a free time on your website, or send a request you confirm.
Does crewduo sync with QuickBooks?
Yes, on the Crew plan: QuickBooks Online or Xero, two-way, so invoices and payments land in your books.
